Shutdown procurement & site support

Plan shutdown equipment, maintenance materials and specialist support with P3. Coordinate critical spares, delivery sequencing and project requirements.

Build the shutdown list around the work

A shutdown procurement list should be tied to planned jobs, equipment tags and the work sequence. This helps distinguish essential spares from optional improvements and allows the team to see which missing item could prevent a task from starting.

Capture complete kits where they are required. A seal replacement may also need fasteners, gaskets or installation consumables. The maintenance team should confirm the technical scope before the list is issued for sourcing.

Identify long-lead and uncertain items

An item with an unclear part number can be as risky as an item with a long manufacturing lead time. Resolve identification questions early and obtain the information needed to assess alternatives. Avoid relying on a visual resemblance alone for a critical replacement.

Where rental equipment or specialist crews are required, define dates, shifts, access requirements and responsibilities. Availability must be confirmed for the actual window; a catalogue listing is not a reservation.

Plan staged delivery and receiving

Shutdown materials often arrive from several sources. Grouping them by work package can make receiving and issue to the job easier. Agree packing identification, delivery sequence and the person responsible for checking quantities and condition.

Site support should be coordinated with the appointed shutdown management team. Work permits, technical supervision, isolations and safety responsibilities remain subject to the site arrangements and the agreed contractor scope.

Prepare an enquiry that can be acted on

Send the shutdown dates, location, equipment list and prioritised bill of materials. Mark items as confirmed, awaiting inspection or subject to technical clarification. Include any access or induction requirements that affect support personnel.

P3 can coordinate the agreed equipment and materials sourcing, delivery follow-up and specialist support enquiries. If the scope changes after equipment is opened, communicate the revised requirement and technical approval route immediately.
