Make open orders visible
Once an order is placed, the important questions change: has the specification been accepted, is production or picking on track, and what could affect dispatch? Expediting is the process of following those milestones and resolving exceptions early.
A useful open-order record includes supplier acknowledgement, promised readiness date, outstanding documents and the next action owner. P3 can coordinate this information for the agreed purchase scope, with the reporting frequency matched to the urgency of the job.
Balance consolidation against urgency
Combining goods from several suppliers can simplify receiving and transport coordination, but waiting for one late item may hold up the rest of the shipment. Decide which items can travel together and which must be treated as critical exceptions.
Packing dimensions, weights and handling requirements matter. Heavy equipment, fragile instruments and consumables may need different packaging or transport arrangements. Ask for these details before finalising the delivery plan.
Plan the receiving end
A delivery is not complete merely because a truck reaches the gate. Confirm site access, receiving hours, offloading equipment, contact details and any booking requirements. For equipment going directly to an installation area, consider whether the area is ready and protected from damage.
Where supply crosses borders, agree the delivery responsibility, importer arrangements and required documentation with the relevant logistics and customs specialists. Charges and timelines depend on the consignment and destination; they should be established for the order.
Build a practical exception process
If an item is delayed, your team needs a revised date and options: partial delivery, a technical alternative or a changed installation sequence. Alternatives still require technical approval and commercial agreement.
Send P3 your required delivery date, destination, order or enquiry reference and any known restrictions. For project shipments, include the installation sequence and identify items that cannot be substituted. That context makes follow-up more useful than a general request to expedite everything.
